You can run the 'Auto Schedule' by clicking the drop down arrow from the top right side of the page.

Note: You won't be able to RUN the Auto-Scheduler until the forecast feature is enabled.

But before that, please set the rules for auto-scheduling from Settings->Schedule->Auto Schedule Settings.

Minimum Shift Length:

Set the minimum shift length you want auto schedule to keep.

Note: Will not be effective if the option, "Fill to match current forecast data" is un-checked.

Maximum Shift Length:

Set the Maximum shift length you want auto schedule to not exceed.

Note: Will not be effective if the option, "Fill to match current forecast data" is un-checked.

Copy shift with assignments and resolve conflicts: Copy the shifts as created in the past with the same employees, but resolve the conflicts if found.
Create optimal new assignments:

Do not copy the same shifts with the same assigned employees instead create new shifts and assign the available employees to those shifts to avoid conflicts.

Fill to Match current forecast data: Auto create the schedule according to the requirements which you set under the 'Forecast' tab.
Do not schedule anyone:

In case the schedule without conflicts, can not be created then:

System won't schedule anyone instead Unassigned (Empty) shifts will be created.

Schedule with conflicts:

Incase the schedule without conflicts, can not be created then:

The system will create the Schedule with conflicts but will allow you to resolve the conflicts by settings those shifts into "Open Shifts".

Note: You can Run the 'Auto schedule' with/without the forecast data assistance though in any case you will have to select the forecast as 'shown in the screenshot below' before running the auto schedule.

To run the 'Auto Schedule' without the forecast assistance please keep the option "Fill to match current forecast data" unchecked.

Note: Auto-scheduling takes into account your location's opening/closing hours down to the minute.

If the Location has the 'Shift Opening and closing hours' set, and from under the 'Forecast settings' you have specified the minimum number of required staff for those Shift Opening/Closing hours. The auto-scheduler will make sure that it schedules the exact number of employees for those hours as defined in the forecast settings.

Q: What difference it would make if the Auto Schedule is Run with/without forecast assistance?

  • -When you run 'Auto Schedule' if the option "Fill to match current forecast data" is unchecked.

The system will overlook whatever you set under the forecast tab, rather it will copy the schedule from the past according to the settings you have saved under the Settings->Schedule.

  • -When you run 'Auto Schedule' if the option "Fill to match current forecast data" is checked.

The system will create the schedule according to the forecasted workload and the preference of staff placement which you set under the forecast section.

Other conditions:-

  • If the option "Create optimal new assignments" is checked.

The system will copy the same schedule from the past schedule but will shuffle the employees assignment.

  • If the option "Copy shift with assignments and resolve conflicts" is checked.

The system will copy the same schedule from the past schedule with the same employees assignment, and you will be given the options to resolve the conflicts.

How does the Conflict Resolver work:

When Humanity recognizes the conflict on a shift, it removes the conflicted employee from the shift, and searches for the most optimal replacement. When looking 'which person to assign to an empty shift', Humanity respects the following rules (sorted by priority): 

  • Employees without Minimum Weekly Hours quota met.

Humanity wants to ensure that this rule is met for all employees before someone else get's scheduled. Full time employees have the priority over the part time employees.

  • Employees who would prefer to work during a shift time.

Humanity respects employee's preferences.

  • Employees with highest seniority.

 (Based on employee's start date in a company)Advantage is given to more experienced employees. 

  • Employees who have the least hours scheduled for the current week.

Humanity aims to evenly distribute working hours between employees, and this option prevents creating unnecessary overtime to one user, while other employee is not scheduled full time. 

Before putting an employee on a shift automatically, the auto Scheduler observes the following conditions:

  • If the employee is Available (Not on an approved leave/ Not have 'set availability' preferences to 'unavailable').
  • Employee is already scheduled that day/time (will be having an overlapped shift, if given the other shift).
  • Employee is not scheduled to work in the shifts closer than Minimum Time Between The Shifts.
